Quick Answers

Overview

The client needed to modernize a mature payroll offering into a broader human resource management system that could support complex organizations, employee populations and policy structures. Payroll could not operate in isolation: recruitment data had to flow into onboarding and employee records; attendance, leave, benefits and changes had to feed payroll; and managers and employees needed secure self-service access.

DreamzTech designed and developed a modular HRTech platform with centralized administration, client and company setup, configurable workflows, role-based access, document and notification services, responsive portals, a mobile application, third-party integration points and a broad reporting layer. This case study is anonymized unless the client separately approves attribution. The build extends DreamzTech's enterprise software development and custom software development practice into a full HRMS SaaS product.

The Challenges

How the Platform Works

Seven ordered steps carry the organization from setup through ongoing monitoring, with each lifecycle stage feeding structured data to the next.

The Solution DreamzTech Delivered

DreamzTech delivered an end-to-end HRMS software platform organized around a shared employee lifecycle and configurable business services, connecting people, policies, approvals, documents, notifications and reporting across HR and payroll operations.

The platform centralizes employee and organization records, client/company structures, user accounts, policies and role-based permissions. Audit history, document services, templates, notifications and configurable approvals provide reusable controls across business modules.

Recruitment teams can plan hiring, create requisitions, search internal and external talent, parse resumes, screen applicants, coordinate multi-stage interviews and manage offers. Accepted candidate data can continue into appointment and onboarding workflows, reducing re-entry between talent acquisition and core HR.

Configurable leave types, policies, holidays, shifts, rosters, overtime and regularization support varied workforce rules. Attendance data can enter through approved APIs, files, employee portals, mobile location controls, QR or biometric interfaces, subject to each organization’s privacy and device policies.

A configurable payroll engine manages salary structures, earnings, deductions, arrears, statutory inputs, payslips, scheduling and disbursement outputs. Connected modules support investment declarations, proof review, tax calculations and forms, along with loans, reimbursements, compensation, insurance and full-and-final settlement. Rules must be maintained and reviewed for the applicable jurisdiction.

Performance workflows support goals, KRA/KPI mapping, appraisal questionnaires, 180/360 feedback, configurable rating and normalization models, recommendations and compensation impact. Training and induction modules add schedules, content, tests, feedback, results and certificates.

Employees and managers can access payslips, tax statements, leave, attendance, claims, loans, documents, training, appraisals, assets, tasks and service tickets through responsive self-service experiences. Mobile workflows extend selected requests, approvals, evidence capture and notifications beyond the desktop.

The solution includes confirmations, transfers, travel, tasks, rewards, engagement activities, internal feeds, assets, ticketing, separation, clearances and exit interviews. These modules keep communications, approvals, supporting documents and history inside the employee record.

The reporting scope covers 62 standard reports spanning employee information, hiring, time and attendance, leave, payroll, benefits, performance, training, onboarding, turnover, engagement, compensation, workforce costs, audit activity and transfers. Drill-down reports, dashboards and a query builder support role-specific analysis.

Technology Architecture

The platform uses a modular, API-led enterprise architecture with role-aware web experiences for administrators, managers and employees, plus a mobile application for selected on-the-go workflows. Final technology and cloud choices are confirmed during delivery rather than fixed on this page.

Success and Outcomes

The project created a comprehensive HRMS foundation that connects previously separate lifecycle processes. No approved before-and-after measurements were supplied, so the following outcomes are intentionally qualitative and should remain so until validated data is available.

Connected Employee Lifecycle

Recruitment, onboarding, employee records, payroll, talent and exit workflows share structured data and services.

Stronger Employee Self-Service

Employees and managers can complete routine requests and access HR information through web and mobile channels.

More Consistent Payroll Inputs

Attendance, leave, benefits, loans, reimbursements, tax and employee changes connect to payroll preparation.

Configurable Governance

Permissions, approvals, policies, templates, documents and audit history support organizational control.

Broader Workforce Visibility

Dashboards, 62 standard reports and a query builder organize HR and workforce information.

Scalable Product Foundation

Modular web, mobile, API and cloud architecture supports additional clients and integrations.

    Frequently Asked Questions (FAQ)

HRMS stands for Human Resources Management System. It is software that centralizes employee data and supports HR functions such as recruitment, onboarding, attendance, leave, payroll, performance, training, employee self-service and workforce reporting.

The terms overlap. HRIS often emphasizes core employee records, HRMS usually combines core HR with operational modules such as payroll and attendance, and HCM commonly includes broader talent, performance and workforce-planning capabilities. Product scope matters more than the label.

Typical modules include organization and employee records, recruitment, onboarding, attendance, leave, payroll, benefits, tax, performance, learning, employee self-service, documents, workflows, reporting and integrations. The correct mix depends on the organization and jurisdiction.

Approved attendance, shifts, overtime, leave, loss-of-pay and regularization records can feed payroll inputs. Validation and exception handling should occur before the pay run so HR and payroll teams retain control.

Yes. It can be configured for salary components, statutory inputs, tax declarations, proof submission, TDS calculations and relevant forms. Rules change, so legal and payroll specialists must review configurations and updates for each applicable jurisdiction.

Employee self-service gives employees secure access to personal HR information and actions such as payslips, tax documents, leave, attendance, claims, loans, training, appraisals, documents and service tickets. Manager self-service adds approvals and team visibility.

The delivered scope includes a Flutter mobile application for selected employee and manager workflows. Exact feature parity with the web platform should be documented by role and release before publication.

Yes. Attendance can be accepted through approved device APIs, file imports, web marking, QR codes or mobile location controls. Biometric and facial-recognition use requires consent, security, accuracy, retention and legal review.

The recruitment workflow covers planning, requisitions, candidate sourcing, resume parsing, screening, interviews, offers and appointment steps. Approved candidate information can continue into onboarding and the employee master to reduce repeated entry.

The platform supports goals, KRA/KPI mapping, appraisal cycles, questionnaires, multi-rater reviews, configurable rating and normalization models, recommendations and payroll-linked compensation effects.

The documented scope includes 62 standard reports across employee data, recruitment, time, leave, payroll, benefits, performance, training, turnover, engagement, compensation, workforce costs, audits and transfers, plus drill-down views and a report query builder.

Permissions can limit modules and actions by user role, company and responsibility. Sensitive HR, payroll and personal data should also be protected through strong authentication, encryption, audit logs, least-privilege access and periodic access reviews.

Yes. The architecture supports group companies, departments, grades, designations, cost centers, locations, vendors and configurable approval hierarchies. Final tenancy and data-isolation rules should be verified for each deployment.

Timelines depend on modules, integrations, migration, statutory requirements, mobile scope and rollout strategy. A phased implementation usually starts with architecture and core HR, then adds payroll, workforce management, talent and advanced reporting after validation.

Yes. DreamzTech can assess the current product, define a modular target architecture, migrate approved data, rebuild user experiences, expose APIs and introduce new HRMS modules without assuming a complete replacement is always necessary.
