AICL's public website reports a national footprint of more than 20 offices, more than 120,000 doctors and 24 by 7 service availability.

That operating model is more complex than a standard policy portal. AICL must coordinate members, insurers, staff hierarchies, payments, renewals, documents, communications, advocates and legal cases without losing the connection between them.

The central challenge was to replace a high-risk legacy data foundation while keeping historical insurance and service records usable under new business rules. The old database had inconsistent structures, weak keys and unreliable relationships across years of lead, policy, payment and case information.

DreamzTech designed Apexer 3.0 as a modular insurance ERP rather than a collection of disconnected tools. Each module contributes to one continuous operational chain: employee and lead, customer and membership, proposal and premium, payment and policy, renewal and reporting, with medico-legal cases and communications linked to the same member record. The build extends DreamzTech's legacy system modernization practice into a regulated, multi-insurer operating platform.

The migration followed six governed stages: assessment, mapping, transformation, relationship mapping, validation and production promotion. Twenty-four legacy staging tables covered leads, subscribers, policies, payments, cases, advocates, courts and employees. Import logic checked legacy identifiers to prevent duplicates, while rejected rows retained a human-readable error reason for correction.

A hierarchical role model supports functions from super administrator and executive leadership through operations, area, branch, sales and renewal roles. Access is governed through a menu-to-permission-to-role-to-user model, allowing AICL to control both what a user can see and what the user can do.

The insurance CRM captures a lead, assigns an executive, records activities and visits, and converts qualified leads into doctor or hospital subscribers without re-entering the same information. Management reporting can analyze conversion by leadership level, team, branch and executive.

AICL can configure service-only or service-plus-policy memberships, capture coverage and member details, monitor expiry and manage the connection to a policy. The platform prevents conflicting active memberships and can recalculate premiums when relevant profile data changes.

Apexer 3.0 supports the lifecycle from proposal and premium through payment, policy creation, approval, documents, status and renewal. Insurer-specific rules allow automated or manual premium calculation by company and member type. Renewal activity follows a governed timeline with approval, effective dates, expiry monitoring, reminders and an audit trail.

Razorpay integration supports payment links, QR payments and webhook confirmation. Field-collected cash and cheque transactions can include photographic evidence. Configurable TDS logic creates qualifying line items and supports GST and TDS clearance in the finance process.

One integration layer handles different insurer operating models. ICICI Lombard and Future Generali use live API flows for functions such as authentication, premium, proposal, CKYC and certificate retrieval. National Insurance and Reliance or IndusInd General Insurance use secure mail and bulk bordereau exchange where direct APIs are not available.

The case module connects the insured member with the assigned advocate, hospital context, documents, processing stages and closure. Cases can be classified as case, draft, notice or advice and tracked as pending, active or closed. Pre-membership and non-membership cases can follow a dedicated management approval path, while structured closure reasons improve reporting consistency.

The platform generates or stores insurer certificates, cover notes, GST invoices, service agreements and renewal notices against the correct policy, case or member. A centralized message log records email, SMS, WhatsApp and staff communications. Scheduled courtesy and legal reminders support proactive service, and inbound email replies can be linked to the original member thread.

Dashboards bring policy status, revenue, renewals, members, employees and leads into one management view. Operational reports support lead conversion, payments, policies, renewals, cases and team performance, with access aligned to the user’s role and organizational scope.

A web platform supports office operations, while purpose-built mobile applications extend relevant workflows to staff and members. The delivery model uses the same governed data core with different authentication and permission paths for employees, members and partner systems, building on DreamzTech’s custom mobile app development practice.

More than 20 scheduled tasks keep recurring operations moving between user sessions.
